Privacy Policy

1. Who we are

Scout AI Inc. ("Scout AI," "we," "our," or "us") builds autonomy software for unmanned systems. This Privacy Policy describes how we collect, use, share, and protect information when you visit scoutco.ai, apply for a job with us, or contact us. It does not cover information we handle under contracts with customers or partners, which is governed by those agreements.

2. Information we collect

Information you give us. Your name, email address, company, phone number, and the content of your message when you contact us, request information, or sign up for updates. If you apply for a position, your resume, work history, and anything else you include in your application. Applications are processed through our recruiting platform, Ashby, which acts on our behalf.

Information collected automatically. When you visit the site, we and our service providers collect your IP address, browser and device type, operating system, referring page, pages viewed, links clicked, and the dates and times of your visits. Some of this is collected through cookies and similar technologies, described in Section 5.

We do not knowingly collect information from anyone under 16. If you believe a minor has given us personal information, contact us and we will delete it.

3. How we use information

We use the information we collect to operate and secure the site, respond to your inquiries, evaluate job applications, send information you have asked for, understand how the site is used so we can improve it, protect against fraud and unauthorized access, and meet our legal obligations. We do not sell your personal information and we do not use it for third-party advertising.

4. How we share information

We share personal information only in these cases:

  • Service providers. Companies that host the site, run analytics, process applications, or send email on our behalf. They may use the information only to provide those services to us.
  • Legal requirements. When required by law, subpoena, court order, or other legal process, or when we believe disclosure is necessary to protect the rights, property, or safety of Scout AI, our users, or others, including to law enforcement and government agencies.
  • Business transfers. If Scout AI is involved in a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction. We will notify you of any change in ownership or in how your information is used.
  • With your consent. Any other sharing you have agreed to.

5. Cookies and analytics

We use cookies and similar technologies in two categories.

Necessary cookies keep the site working and remember your cookie choices. These are always on.

Analytics cookies, set by Google Analytics 4, tell us how visitors find and use the site: which pages are viewed, how long visits last, and roughly where traffic comes from. We have configured Google Analytics not to store full IP addresses and we do not combine analytics data with information that identifies you by name. Google processes this data under its own terms, which you can read at policies.google.com.

When you first visit, a banner lets you choose Accept (all cookies), Necessary only, or Manage preferences. You can change your choice at any time through the cookie settings link in the site footer, or by clearing cookies in your browser. Turning off analytics cookies does not affect your ability to use the site.

Our site does not respond to browser Do Not Track signals, because there is no common standard for them. Your cookie banner choice controls what we collect.

6. How long we keep information

We keep contact inquiries for as long as needed to respond and follow up, generally no more than two years. Job applications are kept for two years after the position closes unless you ask us to delete them sooner, or longer if you are hired. Analytics data is retained for 14 months. Server logs are kept for up to 12 months for security purposes.

7. Your choices and rights

Depending on where you live, you may have the right to know what personal information we hold about you, receive a copy of it, correct it, delete it, or object to or restrict how we use it. California residents have these rights under the California Consumer Privacy Act. Residents of the European Economic Area, the United Kingdom, and Switzerland have them under the GDPR and equivalent laws, and may also lodge a complaint with their local data protection authority.

To exercise any of these rights, email us at the address in Section 10. We will verify your identity before acting on a request and respond within the time required by applicable law. We will not treat you differently for exercising your rights.

You can unsubscribe from any email updates using the link in the message.

8. International visitors

Scout AI is based in the United States and the site is hosted there. If you visit from outside the US, your information will be transferred to and processed in the US, where privacy laws may differ from those in your country. Where required, we rely on standard contractual clauses or other lawful transfer mechanisms.

9. Security

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information we hold, including encryption in transit and access controls. No system is completely secure, so we cannot guarantee the security of information you send us over the internet.

10. Changes to this policy

We may update this policy as our practices or the law change. If we make a material change, we will post a notice on the site before it takes effect.
